HubSpot for Healthcare. The Data That Would Make You Useful Is the Data You Cannot Touch.
Every commercial question in healthcare has a good answer sitting in a system your marketing team is not allowed to open. So the team guesses, the CRM fills with what is safe rather than what is true, and the forecast becomes a story. ManoByte has built HubSpot for device manufacturers, HME providers, pharmaceutical companies and care organizations. The work is always the same, drawing the line in the right place and then connecting across it.
Healthcare punishes a generic CRM in a way no other industry does
In most industries an unconfigured CRM is merely unhelpful. In healthcare it is a liability, and the safe response is to put almost nothing in it. That is how commercial teams end up flying blind inside a system that was bought to help them see.
The useful data is the data you must not hold
Diagnosis, eligibility, episode and outcome would answer nearly every commercial question you have. All of it is protected, so the CRM gets the leftovers and the team makes decisions on them.
Nobody buys, a committee clears you
A clinical champion wants it, value analysis decides it, supply chain prices it and IT security can stop it. A pipeline with one contact and one close date cannot describe that, so the forecast reflects optimism rather than progress.
Referrals are the pipeline and they are invisible
The relationships that actually generate volume live in a rep's memory and a lunch calendar. Ask which referring practice grew this quarter and the honest answer is usually that nobody can tell you.
Compliance review arrives after the work
Copy gets written, campaigns get built, and then legal sees it. So the cycle runs at the speed of the slowest review, and teams stop proposing anything that might need one.
What we have actually built for healthcare and medical device companies
Every item here is work we have delivered and can name the customer for. Where we have not done something in this sector we have left it off, which is why this list is shorter than the one a healthcare agency would show you.
Hub implementation and onboarding: Sales Hub Enterprise for SuperCare Health in home respiratory and HME, Operations Hub for the pharmaceutical research company SciMar, and Marketing Hub Professional onboarding for the device manufacturers Noah Medical and Trice Medical and for Health Management Associates.
Integration between HubSpot and the systems that already hold the record, including the HCL to HubSpot integration and automated email work for STERIS, and the platform integration for the advance care planning company Vynca.
Migration, where the work is deciding what to carry across rather than running the import: Aspen Laser Systems, SciMar and Theralight all moved with us, Aspen across four separate engagements.
Multi-region rollout: STERIS ran international forms for Canada and the UK on top of a US instance, then a second phase, then an ongoing retainer. That sequence is the honest shape of enterprise medical device work.
Work inside a HIPAA scope. HubSpot offers sensitive data handling on Enterprise products and will sign a business associate agreement, and it is narrower than it sounds: sensitive data is unsupported in chatbots, personalization tokens, playbooks and sandboxes. We scoped Hopscotch Health against exactly those limits.
An honest boundary: HubSpot is not an EHR and we have never connected one. We have integrated it with commercial and platform systems, and where the clinical system is the right answer we say so rather than bending a CRM into a shape that puts protected information somewhere it should not be.
How a healthcare HubSpot implementation runs
- 1
Draw the line before building anything
We work out what is protected, what is consented and what is merely commercial, and we write that down first. Every later decision depends on it, and retrofitting it is how breaches happen.
- 2
Model the committee and connect the systems of record
A pipeline with the real gates in it, referring relationships as first-class records, and connections to the clinical and operational systems that hold the truth, carrying the minimum a commercial team needs to act.
- 3
Put review inside the work and then measure
Compliance approval as a step with an owner, and reporting that ties campaigns and referral relationships to revenue, so the next quarter's argument is settled with data rather than with seniority.

HubSpot for Healthcare: Common Questions
- Has ManoByte worked with healthcare and medical device companies?
- Yes, and across the sector rather than at one point in it: device manufacturers including STERIS, Noah Medical, Trice Medical, Aspen Laser Systems and Cala Health; home respiratory and HME through SuperCare Health; pharmaceutical research and compliance through SciMar and ProPharma Group; and care delivery through Hopscotch Health, Vynca and Aegis Therapies. Every one is a closed engagement.
- Can HubSpot be used in a HIPAA environment?
- In specific configurations, yes. HubSpot offers HIPAA-enabled settings on certain Enterprise products and will sign a business associate agreement, and those settings have to be switched on and designed around rather than assumed. Most of the work is architectural: deciding what never enters the CRM at all, so the marketing and sales teams can move without holding protected health information they have no business holding.
- How do you keep protected health information out of the CRM?
- By deciding first what may never enter it, then connecting across that line rather than syncing through it. On Hopscotch Health the HIPAA scope was set before anything was built. HubSpot's sensitive data handling is Enterprise only and narrower than the marketing suggests, with chatbots, personalization tokens, playbooks and sandboxes all unsupported, so the design has to account for those gaps rather than assume the setting covers them.
- Why does a generic HubSpot rollout stall at a medical device company?
- Because the pipeline HubSpot ships with assumes one buyer and one close date, and a device sale has neither. It runs through a clinical champion, a value analysis committee, supply chain and IT security, each of which can stop it, and the stage that matters is not proposal sent but whether you cleared committee. Configure for that and the forecast becomes real; leave it generic and it drifts within a quarter.
- Do you connect HubSpot to EHR and clinical systems?
- We have not connected an EHR, and we will say so rather than imply otherwise. Our healthcare integration work has been commercial and platform level: HCL to HubSpot for STERIS, and the platform integration for Vynca. HubSpot is not a clinical system and should not become one. Where the EHR is the right place for something we say so.
- Is healthcare a focus for ManoByte?
- Construction is the larger practice. Healthcare sits beside it because the shape is familiar: a long regulated sale, a committee rather than a buyer, and a field organization whose work never reaches the CRM. That overlap is why this work is real rather than opportunistic, and why STERIS came back for a second phase and then a retainer rather than stopping at the first project.
Can you name the referring relationship that grew most this quarter?
Most healthcare organizations cannot, and it is not because nobody is paying attention. Tell us where your line between clinical and commercial sits and we will show you what is stranded on the wrong side of it.
